Introducing a staff medical scheme is easier when the business settles its purpose, eligible workforce and contribution before selecting a plan. The result should be a benefit employees understand and an arrangement the employer can administer consistently.
Dooley Insurance Group helps employers review suitable medical insurance options available through our agency appointments. We explain the relevant cover, funding choices and practical scheme requirements so the business can make an informed decision.
Begin with the number of potential members, their locations and the annual amount the employer wants to fund. Agree whether membership is available from employment start, after a defined eligibility point or under another confirmed rule. Obtain appropriate employment advice when setting benefit terms.
Next, compare the medical plan, joining conditions and administration. Confirm the insurer’s participation requirements, commencement date and handling of employees with previous cover. Prepare the member communication before enrolment so the offer matches the actual arrangement.
A launch checklist should identify who approves additions, who tells payroll, how employees ask personal cover questions and what happens when a member leaves. The first annual renewal should also have an owner and a planning date.
A business wants its new scheme to begin in January. Work backwards from that date to compare plans, confirm membership, prepare payroll and give staff time to understand the offer before their cover starts.
This example illustrates the questions to resolve. It is not a quotation, an assurance that a scheme is available or a guarantee of medical benefits. The insurer’s terms and each member’s circumstances determine the position.
A useful comparison looks at the annual premium, the employer contribution and the amounts employees could pay when claiming. Check named hospitals, inpatient and day-case excesses, procedure-specific co-payments and limits on outpatient refunds.
Where included, GP, physiotherapy, diagnostic, maternity and mental health benefits can differ in their provider rules and annual limits. A benefit heading does not establish that every treatment or provider is covered.
An arrangement may be employer-funded, partly funded or available on a voluntary employee-paid basis, subject to insurer and scheme terms. Partner and child membership, upgrades and joining requirements should be agreed before an offer is communicated.
Company-paid medical insurance is generally a taxable Benefit-in-Kind. Payroll should use current Revenue rules, and employees may be entitled to claim Medical Insurance Relief. A contribution should not be described as tax-free without a confirmed basis.
First-time members, people returning after a break and people increasing cover may face waiting periods. Any waiver must be confirmed by the insurer. A business scheme does not automatically remove a member’s waiting periods or Lifetime Community Rating loading.
For an initial enquiry, an aggregate workforce summary is normally more useful than individual medical details. Any member-level information required later should be handled through the appropriate secure process. Employees should discuss personal medical and claim matters directly with the insurer.
An aggregate employee count, location summary, contribution budget and intended start date are a useful starting point.
Avoid promising a plan, start date or waiver before the arrangement has been confirmed.
Participation and joining windows depend on the arrangement. Confirm the rules and communicate them clearly.
The member should use the insurer’s appropriate support and authorisation process. Routine employer administration should not collect clinical details.

For an employer, compare hospital access near where employees live, not only the registered office. A team spread across Kildare, Dublin, Meath and other counties may need different regional access from a workforce based around one location.

Benefits, premiums, hospital access and waiting periods depend on the plan and individual circumstances. A review does not guarantee a saving or a particular claim outcome.
